The short answer
AI automation services, in one paragraph
AI automation services connect your business software and add an AI step that can read, decide and write. Repetitive work such as lead follow-up, data entry, reporting, review management and customer replies then runs on its own. IPSense builds these systems for Indian businesses, starting with one high-value workflow and expanding once it pays for itself.
- Best for
- Businesses with 5–500 people who repeat the same digital tasks every day
- Typical first project
- ₹25,000–₹1,50,000, live in 1–4 weeks (see pricing)
- Built with
- n8n, Make, Zapier, OttoKit, Apps Script and GPT, Claude or Gemini models

01 · Definition
What is AI automation, and how is it different?
AI automation is software that carries out a business process end-to-end and uses an AI model for the steps that need understanding: reading a message, judging a lead, writing a reply or summarising a report.
Traditional automation follows fixed rules: if a form is submitted, send an email. It breaks the moment the input is messy. AI automation handles the messy part. It can tell a serious enquiry from spam, pull a budget out of a free-text message, or write a product description in your brand's tone, and then pass the result to the next tool.
AI agents go one step further: they are given a goal and a set of tools, and they choose the steps themselves. They are powerful, but they need tighter guardrails, so we use them only where a fixed workflow is not enough.
| Compared on | Manual work | Rule-based automation / RPA | AI automation | AI agents |
|---|---|---|---|---|
| How it works | A person repeats the task | Fixed if-this-then-that rules | Workflow with AI steps for reading, judging and writing | AI plans its own steps towards a goal |
| Handles messy input | Yes, slowly | No, it breaks or skips | Yes: emails, chats, PDFs, reviews | Yes, including open-ended tasks |
| Example | Copying leads from a form into the CRM | Form → CRM row → fixed email | Lead scored, enriched, routed and replied to in your tone | Researches a lead, books a meeting, updates the CRM |
| Predictability | Depends on the person | Very high | High, with human approval where it matters | Medium, needs guardrails |
| Typical build time | None | Days | 1–4 weeks | 4–8+ weeks |
| Best for | One-off or sensitive decisions | Simple, stable processes | Most marketing, sales and operations work | Research, support and multi-tool tasks |
Most businesses get the fastest return from AI automation, the highlighted column. We add agents only once the workflow underneath is stable.
See it work
What AI automation looks like: one lead, under a minute
- 01
A message arrives at 10:47 pm
An enquiry comes in through website chat after office hours. Nobody is at their desk, and the automation starts at once.
- 02
AI reads it like a person would
The AI step pulls the industry, need, timeline and budget out of free text, without asking the customer to fill a form.
- 03
The lead is scored
Your rules plus AI judgement give a score from 0 to 100, so hot enquiries jump to the top of the queue.
- 04
The CRM updates itself
A contact and deal are created, the right owner is assigned and a call task is set for 9 am.
- 05
A reply goes out in your tone
A personalised reply with call slots is sent in seconds, or held for a team member to approve.
02 · Why now
Why Indian businesses are automating with AI this year
The tools have become cheap enough, and customers impatient enough, that waiting now costs more than building. These four shifts come up in almost every discovery call we run.
Of a salary goes on copy-paste
Two hours a day of moving data between tools is a quarter of an 8-hour day, so about ₹8,750 of a ₹35,000 monthly salary. Most teams have several people doing exactly that.
Reply wins the lead
Enquiries go to whoever answers first. An automated first response, followed by a human call, keeps you first at 11 pm and on Sundays too.
Search now answers for you
Buyers ask ChatGPT, Gemini and Google AI Overviews which company to choose. Tracking and improving how AI describes your brand is now part of marketing.
AI steps cost paise
Model prices have fallen sharply. For most small-business workflows, the AI step costs paise per task, so the cost of a build is mostly design and setup, not running.
03 · Services
AI automation services we design, build and run
IPSense started as a digital marketing agency, so our automations begin where revenue begins: marketing, search and sales. From there they reach into your website, store and back office.
AI marketing automation
Campaigns that run themselves. One blog post becomes a week of social posts, captions are written in your tone and scheduled, email nurture adapts to what each lead clicked, and every result lands in one sheet. Built by marketers who have run these campaigns by hand for years.
- Content repurposing
- Social scheduling
- Email nurture
- Lead magnets
- Sociamonials
Outcome: more campaigns out the door with the same team
SEO, AEO & GEO automation
Rank and click-through reports from Search Console, AI citation tracking across ChatGPT, Gemini, Perplexity and AI Overviews, bulk on-page and schema updates.
Proof of visibility, every month
Lead & CRM automation
Every enquiry from forms, ads and chat is captured, de-duplicated, scored by AI, assigned to the right person and followed up until someone replies.
No lead left waiting overnight
WordPress & website automation
Bulk page and SEO-field updates, review and testimonial sync, form-to-CRM routing, content publishing and uptime alerts for WordPress sites.
A site that updates itself
Shopify & WooCommerce automation
Order and stock sync, abandoned-cart recovery, AI product descriptions, review requests after delivery and daily sales summaries.
Store operations on autopilot
Reporting & dashboards
GA4, Search Console, ads and CRM data pulled into one dashboard, with an AI-written summary of what changed emailed every Monday.
Reports nobody has to build
AI agents & chatbots
Support and sales assistants trained on your own documents, prices and policies. They answer on your website, hand over to a human when unsure and log every chat.
Instant answers, with human handover
Back-office & document workflows
Quotes, invoices, approvals, onboarding checklists and PDF data entry, routed and filed automatically, with a person approving anything financial.
Less admin, fewer errors

Five AI automations running in production
We build every automation for our own businesses first: the 31-site Smart Suburbs directory network and our client accounts. These are real workflows, not demos.

GEO · AI visibility
Does ChatGPT recommend you? This tracker checks.
The problem: clients wanted to know whether AI assistants mention their brand. Checking 4 engines by hand for dozens of searches took hours, and left no proof.
- A Google Sheet holds the brand domain (for example wakad.in), a categorised keyword queue, and run settings such as time period and language
- Browser automation runs each search on Google, separating the AI Overview from the organic results, then on Gemini, Perplexity and ChatGPT
- Answers, citation chips and source links are scanned for the client's domain
- Each match is validated, given a "MATCH FOUND" badge, centred in view with its query, and saved as a timestamped PNG
- A master sheet and visibility summary are emailed to the SEO and brand teams
- Before
- Someone searched each keyword on each AI engine by hand and copied the answers. Nothing was saved as proof.
- After
- One unattended run covers all 4 engines and saves a timestamped screenshot for every citation it finds.
- Browser automation
- Google Sheets
- ChatGPT
- Gemini
- Perplexity
- AI Overviews

SEO reporting
Page-by-page Search Console evidence, unattended
The problem: monthly SEO reports need click-through and position trends for every important URL, but Search Console shows one page filter at a time.
- A team member signs in to Google during a 15-second window; the robot never stores passwords
- It opens the property and switches on Average CTR and Average Position
- It sets the range to 3, 6 or 12 months
- For each URL on the list it applies a page filter and saves a screenshot named after the URL
- It clears the filter and repeats until the list is done
- Before
- An analyst filtered Search Console one page at a time and took every report screenshot by hand.
- After
- The robot works through the full URL list and saves each page's CTR and position chart, named by URL.
- Google Search Console
- Browser automation
- URL loop
- Auto-named files

Reputation · WordPress
Fresh reviews on the right page, every morning
The problem: customer reviews collected in MoreGoodReviews had to be copied onto the matching WordPress business listing by hand, and edits were often missed.
- A daily Apps Script trigger reads listing IDs, review projects and minimum star ratings from a sheet. API keys stay in secure script properties.
- Reviews are pulled from the MoreGoodReviews API in pages of up to 50, for daily updates or a full historical backfill
- Low-star and empty reviews are filtered out
- Review IDs are compared with the "Reviews" tab to decide whether to add, update or remove, and each job is queued in a "Sync_Queue" tab as PENDING
- OttoKit picks up each new queue row, applies the change on the ListingPro listing, writes back the WordPress comment ID and marks the row DONE
- Before
- Reviews were copied onto each WordPress listing by hand, and edits or deletions were often missed.
- After
- A daily run adds, updates or removes reviews on the right listing and logs every change in Sheets.
- MoreGoodReviews API
- Apps Script
- Google Sheets
- OttoKit
- WordPress
- ListingPro

Social media · AI copywriting
Every Instagram post logged and rewritten for reuse
The problem: published social posts disappeared into the feed. Nobody logged them, measured them or reused the copy on the website.
- At 7:45 AM IST a trigger connects to the Sociamonials API and the log sheet
- The last 7 days of posts for the @smartsuburbs handle, with dates, metrics and links, are fetched, and website URLs are pulled out of each caption
- Post IDs are checked so nothing is logged twice, and delivery failures are flagged
- An AI model writes a two-paragraph AIDA summary with the website and post links
- New rows are added to the "SmartSuburbs Instagram Post Log" sheet, and a run summary listing any delivery issues is emailed to the team
- Before
- Published posts were never logged, measured or reused anywhere else.
- After
- By 7:45 AM every day, each new post is logged with its metrics and an AI summary ready to reuse.
- Sociamonials API
- LLM
- Scheduled trigger
- Google Sheets

WordPress · On-page SEO
Hundreds of SEO fields updated overnight
The problem: changing focus keywords on every category and location page meant opening each page, editing the SEO plugin and saving, one at a time.
- The automation loads a sheet of page URLs and new keywords, then signs in to WordPress
- It opens each live page and goes to its editor through the admin bar
- It finds the Squirrly SEO keyword box and clears the old keywords
- It types the new keywords with human-like keystrokes and Enter/blur events, so the plugin registers each one
- It triggers Squirrly's own save, clicks WordPress Update, waits for the "updated" banner, then moves to the next row
- Before
- Focus keywords were edited by hand in the SEO plugin, one page at a time.
- After
- One spreadsheet drives the whole update, and every save is confirmed before the next page starts.
- WordPress
- Squirrly SEO
- Google Sheets
- Browser automation

Yes. The five case studies above run every day on our own sites and client accounts, and we demo them on a call.
Do they understand your business, not just the tools?
Founder-led, with 35+ years in digital and e-commerce. We start with your process, then pick the tools.
Will you own the accounts and workflows?

How is your data protected?
Least-access logins, API keys in secure storage, no passwords saved by robots, and self-hosting when data must stay on your server.
What happens when something breaks?
Every workflow sends error alerts and keeps a run log. On a retainer, we fix issues before your team notices.

Parag Pathare: the automation experience behind the work
Parag Pathare founded IPSense Consultancy and has spent more than 35 years in digital and e-commerce. His day-to-day work today is building and running automation. He designs the workflows on this page himself, and they run every day across the Smart Suburbs directory network and IPSense client accounts.
His toolkit covers WordPress architecture, Python automation, n8n workflows, Google Apps Script, OttoKit and RTILA browser automation, plus structured data and AI search optimisation. He uses it to automate day-to-day operations for enterprise and B2B clients. He also manages a portfolio of more than 200 licensed software tools, so tool recommendations come from hands-on use, not vendor brochures.

AI automation terms, in plain English
The words you'll hear in any AI automation proposal, explained without jargon so you can compare partners properly.
- AgentAI agent
- An AI system given a goal and a set of tools, which decides its own steps to reach that goal, such as checking stock, then replying to a customer.
- ModelLLM
- A large language model, such as GPT, Claude or Gemini. It is the part of an automation that reads, writes and makes simple judgements.
- Building blockWorkflow and trigger
- A workflow is the chain of steps an automation runs. A trigger is the event that starts it, like a new form entry, order or review.
- TechniqueRAG
- Retrieval-augmented generation: the AI looks up your own documents, prices or policies before answering, so replies stay accurate to your business.
- SafetyHuman-in-the-loop
- A step where a person approves or edits the AI's output before it goes out. We use it wherever money, customers or public content are involved.
- Platformn8n
- An automation platform that can run on your own server. It suits complex, high-volume and AI-heavy workflows where per-task pricing would get expensive.
- SearchGEO
- Generative engine optimisation: improving how AI assistants like ChatGPT, Gemini and Google AI Overviews mention and cite your brand.
- SearchAEO
- Answer engine optimisation: structuring content as clear answers to real questions so search engines and voice assistants can quote it directly.
13 · FAQ
AI automation services: questions answered
Straight answers to what businesses ask us before they start. Don't see yours?
Ask an IPSense consultant →What are AI automation services?
AI automation services are the design, build and maintenance of software workflows that complete business tasks on their own, with an AI model handling steps that need understanding, such as reading emails, scoring leads or writing replies. IPSense audits your process, builds the workflow in your own accounts, tests it on real data and monitors it after launch.
How much does AI automation cost in India?
A single quick-win workflow typically costs ₹25,000–₹60,000, an AI-powered workflow ₹60,000–₹1,50,000, and a multi-system build or AI agent ₹1,50,000–₹5,00,000, all one-time and plus GST. Ongoing management runs ₹15,000–₹75,000 a month. Tool and AI usage usually adds ₹1,500–₹15,000 a month for a small business.
How long does it take to build an AI automation?
A simple workflow can go live in 1–2 weeks. An AI-powered workflow usually takes 2–4 weeks and an AI agent 4–8 weeks, including a side-by-side test on real data before launch.
What is the difference between AI automation and RPA?
RPA (robotic process automation) follows fixed rules and clicks through screens exactly as recorded, so it fails when the input changes. AI automation adds a model that can understand unstructured input such as emails, chats, PDFs and reviews, and make simple judgements. We often combine the two: browser automation for the clicks, AI for the thinking.
What is an AI agent, and does my business need one?
An AI agent is given a goal and a set of tools, and decides the steps itself, for example answering a customer by checking your price list and order status. Most businesses should start with a structured AI workflow, which is cheaper and more predictable, and add an agent where questions are too varied for fixed steps.
Which tasks should a business automate first?
Start with work that is frequent, rule-like and time-sensitive: lead capture and first reply, copying data between tools, weekly reports and review management. These pay back fastest. Take the readiness score above to see which one fits you.
Can you automate my digital marketing with AI?
Yes, it's where IPSense started. We automate content repurposing, social media scheduling with AI-written captions, email nurture, ad and SEO reporting, and lead routing from campaigns. Strategy and creative approval stay with your team.
Can AI automation help my brand show up in ChatGPT and Google AI Overviews?
Automation can't buy a mention, but it shows you where you stand and speeds up the fixes. Our citation tracker checks ChatGPT, Gemini, Perplexity and Google AI Overviews for your target searches. Bulk schema, FAQ and content updates then improve the signals AI engines rely on. This sits alongside our SEO services.
Do you automate WordPress, WooCommerce and Shopify?
Yes. For WordPress and WooCommerce we use OttoKit, n8n and the REST API for publishing, SEO-field updates, review sync and order workflows. For Shopify we automate order and stock sync, abandoned carts, AI product descriptions and post-delivery review requests.
Should I use n8n, Make or Zapier?
Use Zapier for low-volume links between popular apps, Make for visual multi-step scenarios, n8n for complex or high-volume AI workflows or when data must stay on your own server, and OttoKit when the workflow lives inside WordPress. We recommend one after seeing your volume and budget.
Is my data safe, and who owns the automation?
You do. Workflows are built in accounts registered to your business, with least-access permissions and API keys in secure storage. Robots never save passwords. Every workflow is documented, so you can move it to another team at any time.
Do I need technical staff to run it?
No. Workflows run in the background, send alerts if something fails and come with a short video walkthrough. Your team approves or edits outputs where needed. We handle changes, or train someone in-house if you prefer.
Do you work with businesses outside Pune and Mumbai?
Yes. IPSense has offices in Pune and Mumbai, and we work with businesses across India and abroad entirely online: audit calls, weekly demos and handover all run over video.
How do you measure the ROI of an automation?
Before building, we record how long the task takes today and how often it happens. After launch, the workflow logs every run, so you can see hours saved, response times and error rates against that baseline. Most quick-win workflows aim to pay back their build cost within a few months.
